# Email and SMS notifications: what needs pricing beyond each message?

Define events, recipients and exceptions. Alongside delivery fees, budget for templates, failure handling and control over what gets sent.

The system needs confirmations, reminders and updates. In the requirements, that becomes one line: email and SMS notifications. The price may include rules, content, configuration and recurring charges.

Start with the purpose of each message. The recipient should understand what happened and whether they need to act.

## Build an event table

For each notification, record the triggering event, recipient, channel and timing. For example, a confirmed booking triggers an email with the appointment details and instructions for changing it.

Add exceptions. Should a reminder still go out after cancellation? What happens if the appointment changes just before a scheduled message? Which version of the information should the recipient receive?

## Decide who manages the wording

Can staff edit the text in the administration area? Are there several languages? Who approves changes and checks that the correct details appear? Choose information appropriate to the channel; the whole case record does not necessarily belong in a notification.

Ask to see messages populated with realistic data. A template that looks clear with placeholder text may become confusing with a long service name or several dates.

## Ask about failed delivery and charges

Agree how staff learn about failures, whether the system retries and how repeated messages are avoided. Requesting delivery does not establish that a person has read the message.

Separate implementation, provider charges and expected message volumes in the budget. Check billing rules, limits and warnings. Include who monitors those figures after launch. This makes notifications a defined part of the service rather than an unclear addition to a subscription, and gives the team a way to handle problems without guessing what was sent.
